  1. General Information

Thank you for choosing The Queen B Catering Co.

We pride ourselves on providing freshly prepared homemade buffets and catering for parties, celebrations, corporate events and other special occasions.

By confirming a booking with The Queen B Catering Co, customers agree to these Terms & Conditions.

These terms apply to our collection, delivery and venue setup services.

  1. Bookings & Confirmation

- All bookings are subject to availability.

- A minimum order of 20 people applies to our buffet catering services.

- A 25% non-refundable deposit is required to secure a booking.

- A booking is confirmed once The Queen B Catering Co has accepted the order, received the deposit and provided written confirmation.

- Customers must provide accurate event details, including the date, location, number of guests, menu requirements and any relevant dietary information.

- We reserve the right to decline a booking before confirmation where we cannot reasonably fulfil the requirements.

  1. Prices & Payments

- A 25% non-refundable deposit of the total booking price must be paid to secure the booking.

- The full outstanding balance must be paid 72 hours before the event.

- Payments must be made using the agreed payment method.

- Any applicable delivery, setup or additional service charges will be communicated before booking confirmation.

- If payment is not received by the agreed deadline, we will contact the customer and allow a reasonable opportunity to resolve the matter. Failure to pay may result in cancellation of the booking, subject to applicable consumer law.

- Any additional services requested after confirmation may incur extra charges, which will be agreed with the customer beforehand.

  1. Cancellations & Refunds

We understand that circumstances can change and ask customers to provide as much notice as possible if they need to cancel.

- Customers must provide at least 72 hours' notice before the event when cancelling a booking.

- The 25% deposit is non-refundable once the booking has been confirmed, except where a refund is required by law or where The Queen B Catering Co cancels the booking.

- For cancellations made 72 hours or more before the event, any payment made above the non-refundable deposit will normally be refunded.

- For cancellations made fewer than 72 hours before the event, reasonable cancellation charges may apply in addition to the non-refundable deposit.

- Any cancellation charge will be limited to losses directly resulting from the cancellation, taking account of food or materials already purchased, preparation undertaken, lost bookings and any costs reasonably avoided or recovered.

- We will take reasonable steps to minimise our losses and explain any deductions made.

- Where the customer has paid more than the non-refundable deposit and any reasonable cancellation charge, the remaining balance will be refunded.

- Where the reasonable cancellation charge exceeds the amount already paid, we may seek the outstanding amount where legally recoverable.

- Refunds will normally be processed within 14 days of agreeing the amount due.

For catering booked for a specific event date, the usual statutory 14-day cooling-off right for distance contracts generally does not apply. This does not affect customers' other legal rights.

  1. Changes to Bookings

- Changes to guest numbers, menus, delivery details or event arrangements should be requested as early as possible and no later than 72 hours prior to the event.

- We will do our best to accommodate changes, subject to availability and preparation requirements.

- Any increase in guest numbers or additional food requirements may incur extra charges.

- Reductions in guest numbers close to the event may not result in a full price reduction where costs have already been reasonably incurred.

- Significant changes may require a revised quotation, which will be agreed before proceeding.

  1. Food Allergies & Dietary Requirements

Customer safety is extremely important to The Queen B Catering Co.

- Customers must inform us of all known food allergies, intolerances and dietary requirements when placing their order, or as soon as they become aware of them.

- We will provide accurate information about the allergens contained in individual menu items in accordance with applicable food law.

- Allergen information will be available before an order is finalised and at collection or delivery, as required.

- Although care is taken during food preparation, shared preparation areas, equipment or ingredients may create a risk of unintended allergen cross-contact.

- We will discuss any serious allergies or specific requirements with the customer before agreeing whether we can safely fulfil the request.

- Customers organising events should ensure relevant allergen information is made available to their guests.

We cannot guarantee every food item is entirely free of traces. Given that I work from a domestic kitchen, all food items are stored here, and I utilize the same oven and appliances. Furthermore, I cannot guarantee that specific foods have been free from allergens during their processing in bakeries, factories & packaging.

Nothing in these terms excludes our responsibility to provide safe food or accurate legally required allergen information.

  1. Food Preparation & Safety

- All food is prepared and handled in accordance with applicable food hygiene and safety requirements.

- Food will be transported and supplied under appropriate conditions.

- Once food has been handed over, customers are responsible for following the supplied food safety instructions, including any refrigeration or temperature requirements.

- Food should not be left unrefrigerated or displayed beyond 4 hours.

- Leftover food must be stored or discarded in accordance with the instructions provided.

We cannot accept responsibility for deterioration caused solely by improper storage or handling after handover, where the food was safe and compliant when supplied and appropriate instructions were given.

  1. Collection Orders

- Collection dates, times and locations will be agreed in advance.

- Customers are responsible for arriving at the agreed collection time or notifying us promptly of delays.

- Customers must provide suitable arrangements for safely transporting the food.

- Any specific transport and storage instructions provided must be followed.

- Uncollected orders will be handled reasonably, taking account of food safety, the circumstances and applicable consumer rights.

  1. Delivery Services

- Delivery is subject to availability and the location of the event.

- Any delivery charges will be agreed before the booking is confirmed.

- Customers must provide the correct delivery address, contact details and any relevant access instructions.

- We will make reasonable efforts to arrive within the agreed delivery window.

- Customers must ensure that someone is available to accept the order at the agreed time.

- Any difficulties with access, parking or unloading should be communicated in advance.

If delivery is delayed due to circumstances outside our reasonable control, we will notify the customer as soon as possible and discuss suitable arrangements.

Any remedy for late or failed delivery will take account of the circumstances and the customer's statutory rights.

  1. Buffet Setup & Venue Access

Where buffet setup has been included in the booking:

- The customer must ensure that the venue is accessible at the agreed time.

- Suitable clean tables and sufficient space must be available unless alternative arrangements have been agreed.

- The setup area should be safe, hygienic and suitable for displaying food.

- Customers are responsible for obtaining any permissions required by their venue.

- Additional requirements such as access restrictions, stairs, parking limitations or unusual setup arrangements must be disclosed beforehand.

We reserve the right to raise concerns about unsafe or unsuitable setup conditions and will work with the customer to find a reasonable solution.

  1. Equipment & Serving Items

- Any equipment, serving platters, stands or other items supplied on a loan basis remain the property of The Queen B Catering Co.

- Where equipment must be returned, this will be agreed before the event.

- Customers are expected to take reasonable care of any loaned equipment.

- Charges for missing or damaged equipment will be limited to reasonable repair or replacement costs, taking account of fair wear and tear and the circumstances.

- Any potential charges will be explained to the customer.

  1. Menu Availability & Substitutions

We aim to provide all agreed menu items as ordered.

Occasionally, an ingredient or product may become unavailable due to circumstances beyond our reasonable control.

Where this happens, we will contact the customer and offer a suitable alternative.

Material substitutions, including those affecting dietary requirements or allergens, will not be made without the customer's agreement.

Where an acceptable alternative cannot be agreed, an appropriate refund or other remedy will be offered in accordance with the customer's legal rights.

  1. Cancellation by The Queen B Catering Co

In exceptional circumstances, we may be unable to fulfil a confirmed booking due to serious illness, emergencies, significant supply disruption or other circumstances beyond our reasonable control.

If this happens, we will:

- Notify the customer as soon as reasonably possible.

- Make reasonable efforts to discuss suitable alternatives where practical.

- Refund payments for catering or services we cannot provide, including the deposit, in accordance with applicable law.

Nothing in this section removes any additional legal remedies to which the customer may be entitled.

  1. Customer Responsibilities

Customers agree to:

- Provide accurate booking and contact information.

- Communicate relevant dietary requirements.

- Make payments by the agreed deadline.

- Provide suitable access for delivery and setup.

- Follow the food safety and storage instructions supplied.

- Treat any loaned equipment with reasonable care.

- Notify us promptly of any concerns with their order.

  1. Complaints & Customer Satisfaction

We take pride in our food and customer service and want every event to be a positive experience.

If a customer is unhappy with any aspect of their order, they should contact us as soon as reasonably possible so that we can investigate and seek an appropriate resolution.

Where appropriate, customers may be asked to provide photographs or details of the issue.

Depending on the circumstances, a suitable remedy may include a correction, replacement, partial refund or full refund.

Customers' statutory rights are unaffected by this complaints procedure.

  1. Liability & Consumer Rights

The Queen B Catering Co will provide its catering services with reasonable care and skill and supply food that meets applicable legal requirements.

We do not exclude or limit liability for:

- Death or personal injury caused by negligence.

- Fraud or fraudulent misrepresentation.

- Breaches of consumer rights where liability cannot legally be excluded.

- Any other liability that cannot lawfully be excluded or restricted.

We will not be responsible for losses caused solely by a customer's failure to follow reasonable food safety instructions or by circumstances outside our control where the law does not make us responsible.

Nothing in these Terms & Conditions affects customers' statutory rights under the Consumer Rights Act 2015 or other applicable legislation.

  1. Privacy & Data Protection

The Queen B Catering Co respects customer privacy.

Personal information collected during the booking process may include names, contact details, event information, delivery addresses and relevant dietary requirements.

Information will only be used for appropriate business purposes, including managing enquiries, processing bookings, providing catering services, maintaining required business records and complying with legal obligations.

Personal information will be stored securely, retained in accordance with our data retention schedule and handled in line with applicable UK data protection legislation.

Further information is available in our Privacy Notice.

  1. Changes to These Terms

The Queen B Catering Co may update these Terms & Conditions from time to time.

The version provided to and accepted by the customer at the time of booking will normally apply to that booking.

Any proposed material changes to a confirmed booking will be discussed and agreed with the customer.

  1. Governing Law

These Terms & Conditions are governed by the laws of England and Wales, subject to any mandatory consumer protections that apply.
